Voicepath provide outsourced transcription and translation services to the legal profession. In doing so they handle many hundreds of documents a day and needed a reliable and efficient system to route each of those documents to the appropriate transcription and quality assurance staff before delivering the completed document back to the correct customer.
Softwire provided our specification and design consultancy to help Voicepath convert their requirements into a detailed specification for an ‘operations workflow’ system. We then implemented, tested and delivered the software and continue to provide ongoing maintenance and support services.
The system itself comprises a number of components based on a Microsoft .NET technology platform, including:
- a web-based interface to allow remote transcription staff to upload completed documents
- a central server to manage document access and act as a document repository
- a Windows GUI through which quality assurance staff can review incoming documents, provide feedback to the transcriber if required, and release the document for delivery back to the customer
- document delivery via email or network share (over VPN)
- a reporting solution to generate monthly billing reports for customers and management reports for in-house system monitoring.
The project was delivered on time and to budget and is now in regular daily use by all of Voicepath’s transcription and quality assurance staff. User feedback on the solution has been extremely positive due to its ease of use, and the system has resulted in Voicepath’s workforce achieving measurable efficiency gains.
